****MISSION:****
Development of the projects currently implemented in Sierra Leone, ensuring appropriateness of actions in respect of Médicos del Mundo (MdM) policies and of the identifications already made.
****GEOGRAPHICAL SCOPE OF INTERVENTION:****
The successful candidate will be based in Madrid, travelling frequently to Sierra Leone.
****ORGANIZATION CHART:****
The successful candidate will be part of the Humanitarian Action - Ebola Unit and will refer to the Unit Coordination and the Technical Team.
****FUNCTIONS:****
****TASK 1 Staff Care and & Expats Movements & Accommodation****
• Keeps up-to-date the country organization charts (ETC).
• Travel, visas, work authorizations and medical evacuations
• Facilitates the arrival and departure expats into and out of the country including ensuring VISA, work permits etc. are managed in a timely manner
• Supervises the travel and visa arrangements for all staff attending trainings or meetings in Madrid or London, as well as for expats leaving on R&R.
• Monitors the requirements in-country for all visas, work permits & residency permits.
• Manage expat work permits, visas & residency permits that are processed in-country and Provides supporting documentation, for any visas processed outside the mission
• Maintains a record of all expats’ flights (Booking reference, expiry date, change fees etc). At the end of any expat’s assignment works closely with the Human Resources Referent to ensure smooth transition out.
• Regularly checks to assure established specifications and safety standards are met in the expats houses on the field.
• Assure in coordination with the log on the field that all the expatriates are allocated before departure.
****TASK 2 Security****
• Participates in the preparation of mission security guidelines.
• Ensures that security is guaranteed to the highest level possible in the whole mission by implementing all MDM E guidelines and working closely with head of mission on all security issues.
• Ensures that all necessary measures are taken in order to avoid theft, destruction or other type of damage of MDM material and property.
• Activate Medical Evacuation in coordination with Medical advisor.
• Staff and materials transportation
****TASK 3 Equipment****
• Ensures the safety, proper use, proper storage and maintenance of MDM material.
• Ensure that inventories of all material and equipment used exist and are updated.
****TASK 4 Team Management****
• Helps updating job profiles of logistics related staff and participates in selection and follow up of logistics related staff.
• Contributes to the proper induction of all new staff, participating in logistics briefings
• Helps identifying training needs for logistics staff and proposes training courses to logistics coordinator.
• Makes regular evaluation of the staff under his/her supervision (if any)
• Identifies the personnel showing potential within the staff under his/her supervision (if any)
****TASK 5 Reporting****
• Produces together with Logistics coordinator and field teams, monthly reports according to guidelines (Situation Reports (SitReps), logistics statistical reports, etc.)
• Participates in for the production and on-time finalization of any other logistics related report
• Keeps documents in database updated and properly filed
****REQUIRED QUALIFICATIONS:****
Academic: University degree or diploma. A Master in International Cooperation and/or Humanitarian Aid is desirable.
****REQUIREMENTS:****
Languages: Very high level of spoken and written English
Office pack user level.
****EXPERIENCE:****
The successful candidate must have at least 5 years’ field experience in emergency situations. At least 3 years’ experience in positions with similar responsibility and working on planning, design, management and monitoring of programmes from a NGDO in fragile scenarios, of complex emergencies. Experience in project planning, implementation and evaluation is desirable. Team coordination experience.
