CONTEXT:
The Financial Management and Administration Centre (FMAC) communicates financial data, knowledge and ‘issues to resolve’ daily with a very wide range of internal and external stakeholders: suppliers for invoices, Procurement Services partners for Statement of Accounts and funds balance settlements, UNICEF country offices for budget adjustments, Supply Division country support for development of FAQS for UNICEF country offices, to name a few.
In all cases the communication content is created manually via standalone spreadsheets or other reporting tools and distributed via one-to-one e-mails with copies for those, who are considered by the sender of the message to need to know about the message content. The communication is documented and filed systematically and electronically for future reference.
FMAC is planning to automate the manual reporting tasks and develop tools to manage electronic documents, and share information and reports in real-time through the use of digital information and communication technology applications.
PURPOSE:
The purpose of the position is to support FMAC in developing and implementing a communication and information management strategy for the Procurement Services (PSAU) and GAVI Accounting (GAU) Units.
KEY RESULTS:
FMAC Procurement Services and GAVI Accounting Units have a user-friendly, information-sharing platform, where all internal and external documents are stored logically and accessible; communication and reporting of financial data to internal /external stakeholders is standardized inputs to the Financial Status Monitoring project are provided.
Duties and Responsibilities:
- Thoroughly map the internal and external communication processes for PSAU and GAU and identify potential areas of efficiency improvement and streamlining opportunities.
- Develop standards for information sharing (documents, reports, etc. for both internal and external partners).
- Develop and migrate existing quick reference guides, division procedures, and other relevant documents to a standardized and user-friendly format (potentially video).
- Develop a centralized platform that provides a visual representation of the processes linked to relevant key documents.
- Provide recommendations on how to link the platform with UNICEF’s ERP system.
- Participate in FMAC’s Financial Status Monitoring project and provide inputs in terms of communication, information sharing and reporting.
- Any other duties as requested by the supervisor.
QUALIFICATIONS AND COMPETENCIES:
Education:
Master’s degree or equivalent in business administration, information management, information technology, knowledge management, online communications management, or equivalent.
Work Experience/ Technical Competencies:
At least two (2) years of relevant work experience in the area of information management, e-business development, knowledge management, strategic online communication development.
· Experience in developing digital services and/or collaborative workspaces is desirable.
· Experience with design, programming and implementation of web solutions would be an advantage.
· Knowledge of SAP (or other ERP) is desirable.
· Experience with Sharepoint is desirable.
