ADMINISTRATIVE Intern
IMPACT Initiatives is humanitarian think tank, based in Geneva, Switzerland. The organisation manages several initiatives, including the REACH Initiative, which was created in 2010 to facilitate the development of information tools and products that enhance the capacity of aid actors to make evidence-based decisions in emergency, recovery and development contexts. The IMPACT team comprises specialists in data collection, management and analysis, GIS and remote-sensing. For more information visit: www.reach-initiative.org.
We are currently looking for an Administrative Intern to support the IMPACT Initiatives team in Geneva.

Supervision
The Administrative Intern works under the direct supervision and management of the Chief Finance and Administration Officer and the Executive Director.
The Administrative Intern provides support to various tasks undertaken by IMPACT Initiative’s Geneva office. These include a number of office administrative, logistics, filing and finance tasks, including the assistance in the organisation of the IMPACT expats deployments in the field, the monthly filling of expenses and accounting.
Tasks
The Administrative Intern contributes to general administrative and filing duties in the office, including purchases and human resources follow up.
1. Finance
The Administrative Intern provides support to the Chief Finance and Administration Officer regarding monthly accounting, follow up of expenses and filling. S/he will support as well the follow up of the Grant Agreement that IMPACT signs with other NGOs or partners.
2. Human Resources
The Administrative Intern will help IMPACT’s HR department on the follow up of vacancies, requests from employees and changes in their status (professional and private), etc.
3. Logistics
Supported by the Chief Finance and Administration Officer, the Administrative Intern organizes Geneva team deployments to the field which includes ordering flight tickets, visas, pick up and accommodation. S/he is in charge of supporting purchases (quotations, orders) and the follow up of procurement procedures. S/he will also work on the organization of Geneva Office and management of office’s physical and electronic filing system.
4. Secretariat
The Administrative Intern will answer IMPACT’s phone and guide calls to the right interlocutor within IMPACT. S/he ensures external people welcoming in the office.
5. Confidentiality
The Administrative Intern is required to maintain the strictest confidentiality of data and processes.
REQUIREMENTS
- French spoken and written fluently with very good knowledge of English;
- Diploma in administration or graduation in relevant field;
- Capacity to work independently and under pressure;
- Organized person, with attention to detail and rigor;
- Interest in the humanitarian field;
- Knowledge of MS Word, Outlook and Excel
